Who has approval rights on a list or library?

The question of the day comes from Jennifer at Stump the Panel:

When Content Approval is enabled for a doc. library or list who is considered the Approver? Is it possible to change the Approver?

Here’s a direct quote from the ‘Help’ menu in SharePoint:

“When this content approval setting is applied, an item or file that has been changed remains in a pending state until it is approved or rejected by someone who has permission to approve it.”

So the question, I guess, is who is considered an ‘Approver’. Anyone who is an owner of that library or list is considered an Approver. In addition, you can create a new Permission Level and apply it to a group of people you would like to promote to approvers.

  1. Thank you, this answered a question in a test I’m studying for!

  2. Dean says:

So how can an end user determine who the Owner(s) of the list/library are?

  3. Dean – That’s the sixty-four million dollar question, isn’t it. A basic End User will not know who the owner(s) or approver(s) are without being told.

One of the Best Practices I recommend is putting a contact web part on the front of each site so the End User will at least know who to talk to when they have a question like this.

Sorry I can’t be of more help.

  4. Susan – If I get four stars for helping you pass the test, what do I have to do to earn five stars… take the test for you? Boy, you’re tough.

I’ll see if I can do better next time:-)
