EndUserSharePoint.com: Downloadable screencast – Manage Meetings with a Blog

Many people use a SharePoint Meeting Workspace as a location for organizing agendas, meeting minutes and followup action items.

In the EndUserSharePoint.com Power User Workshop last week at Autodesk, we discussed how using a blog might be a more efficient and intuitive way to manage a meeting. One of the participants asked if I would record a step-by-step process, so I whipped out my microphone and opened Camtasia Studio for a live recording session. What you see and hear is a live demo directly from the workshop at Autodesk… warts, misspellings and all.

The point? Think outside the box when it comes to using the various functionalities of SharePoint.

    Mr. Miller – a very nice, neat and complete description of creating blogs and the use of categories. Thanks for the permission to reuse/include this video in other media. You mention SharePoint. What would you suggest as the most useful way to put this into SharePoint? If you put the ZIP file into a document library, it won’t play. There must be a better way.

    I have been trying to view the video for Mark Millers presentation on Meetings in a Blog and cannot get it to play. I click on the link in my email and it asks me to download Flash Player 9 which I do but the .swf wants to open in notepad. When I try to watch it from the blog, it asks me to sign up for newletter which I already get.

    Sorry, never mind. I figured out what I was doing wrong. I kept trying to get .swf to associate with Flash, I needed to just let it open in a browser. DUH

  4. Richard – Unzip the files and upload them into a library. Create a view that only exposes the .htm file, if you like. Clicking on the .htm file will start the video to play.

    Tammy – DUH… I should have given better directions.

    An interesting application for a blog but not quite a real world one, I believe.

    Probably the best point is to use Word for blogging. But is it really necessary? You could use journaled text field for commenting the way it is used in Issue Tracking list.

    Will the category list scale well with more and more meetings to come?

  6. ACrush – We’re in disagreement on that one. I think a blog is definitely a real world solution for meeting notes. Because of the ease of categorization and the search capability, I see this as an ideal and user friendly way to keep meeting agendas, notes, action items and followup.

    Your point about the scalability of the category list is well taken. However, most people I have worked with consider using this solution for their recurring weekly meetings. At that level, you will have between 40 to 50 categories, which unwieldy, is still manageable.

    Hi Mark,

    I have a question, but it’s not related directly to the topic of the article. I’m more interested in how you achieved the cursor effect, the yellow circle which made it easy to track the movement of the cursor around the screen.

    I’m assuming it is a small app you have installed, but was wondering if you could confirm, and if possible direct me as to how I could get a copy. I have tried googling it but not been able to find anything that suits.

    Richard – I use Camtasia Studio to make the recordings. Part of the setup is how to make the cursor stand out. There are several ways, but I like the yellow dot the best. — Mark
